Contacts Permissions

Updated over a year ago

The permissions below apply to all Contacts and the interaction users have with them in Zenu.

'Send Marketing Texts' if checked allows the user to select multiple contacts at once and send a bulk text message. This can be done from Contacts, Inspections, Pipeline, Prospects, Appraisals and the Activity tab within a listing. Please note if a user has 'Disable sending any Text/SMS' checked this permission is overridden.

'Mail Merge' if checked, the user will have permission to generate bulk letters.

'Check for all duplicates' if checked, allows the user to see all potential duplicates of contacts that exist in the system.

'See all contacts by mobile match' if checked, allows users to check if contacts already exist in the CRM based on mobile number.

'Sync contacts to Google Contacts' if checked, allows the user to use the feature of Zenu sync contacts. *This product is currently in BETA testing*
If you do not have this sync feature turned on for your office and are interested, please let our Support Team know so they can direct your request to the appropriate team.

'Email Attachments' if checked, will grant the functionality of uploading documents/files that are external to Zenu from their computer.

'Disable sending any Text/SMS' if checked, stops the user from sending any text messages from the CRM. A warning message appears if they attempt to send or will display as a greyed-out area (dependent on the area of Zenu)

'Send on behalf of' if checked, allows the user to send emails, text messages and e-marketing campaigns from other team members (including managerial positions eg. Principal). If you would like to instead only allow for sending on behalf of a smaller group of users they will need to be included in a Sharing Pod.

'Merge Duplicate Contacts' if checked, allows the user to merge duplicate contacts from the front-end of a contacts card. This permission will allow the user to select from duplicate contacts, choosing which contact and details to keep.
For this permission to be effective the office setting found in contacts 'Allow merging of contacts' will need to be enabled.

For contacts, this is also broken down into the following Contact Types:

  • Buyers

  • Landlords

  • Tenants

  • Vendors

  • Others (not Buyers, Vendors, Tenants or Landlords)

This allows different roles to have different permissions around type. Eg. A Salesperson role may not have the same permissions for Tenants as they do Buyers.

Each section has the same permissions but will only apply to the contacts that have that 'Type'

'See all buyers' if checked, allows the user to see all contacts that have the contact type "Buyer". This affects the permission of 'checking for all duplicates'. If 'See all buyers' permission is not checked, a user will not be able to see all existing 'buyers' in the system as a potential duplicate.

'Create buyers' if checked, allows the user to add a new contact to the system with the Contact Type of Buyer.

'Update other users' buyers' if checked, allows the user to update details of a Buyer contact where they are not a primary or secondary agent.
