Creating a new Auto Alert

To create an Auto Alert head to Settings > Action Plans > Auto Alerts.

Click on + Add Auto Alert to create a new alert.

  1. Select the Office/s which will send to primary contacts
    For your reference, this is stated on the Contact's page in the Contact Details section.

  2. Select the Sale Method/s - This is choosing which listings will be sent.
    You can select Sale and/or Lease.

  3. Select the Alert Type/s - This is choosing which status' and/or types will be sent.
    You can send one or multiple status' or types.

  4. Select the Delivery Day/s - This is choosing when the alerts will be sent.
    You can select one or multiple days.

  5. Select Delivery Time - This is choosing what time the alerts will commence sending.
    Each alert can only have one delivery time.

  6. Select who you wish to send the alerts to - This is choosing to send listings to Contacts with matching criteria OR to a particular Contact Type
    Each alert can only be sent to one option.
    • Matching Contacts - All contacts will receive any new listings that match their criteria.
    Contact Type - All contacts of one particular type will receive all new listings. You can only select one Contact Type per alert.

  7. Send only to Subscription - This is an optional step if you select Matching Contacts
    If you choose to send to a specific Subscription, only Contacts assigned to this Subscription will receive all new listings matching their criteria.

  8. Send Alerts From - This is choosing who the alert will be sent from
    Office - Includes Office contact details - If multiple offices are selected, this will merge
    Contact Team Member - Sends from the Contact's Primary Team Member

Please note the Listings that are included in Auto Alerts are any new updates to listings that are relevant to Step 3 since the same Auto Alert was last sent.

Once all of your Auto Alerts are set up, you will always have access to this same screen to edit and adjust based on feedback, response and business goals.

Additionally, this screen shows a listed report of all who received the Auto Alert and when they viewed it. (Each Auto Alert will be documented also on an individuals contact card).

Click on View to display when this alert was sent, and to how many contacts.

Click on the Date or the Number of Contacts to view the contacts who received the alert and which Listings they were sent. You can also view which contacts have Read the Alert.
